Point of sale (POS)

RETAILBOSS ReferenceUpdated November 2, 2026

A point-of-sale system is the combination of software and equipment used to record a sale and manage checkout.

How it works in retail

A retail POS can handle payments, receipts, tax settings and returns, and may connect to inventory and customer records. Its capabilities depend on the system and configuration.

A retail example

An associate scans a product, accepts payment and issues a receipt while the inventory record updates.

What to keep in mind

A payment terminal alone is not necessarily a complete POS system. Check how transactions, refunds and stock movements connect across selling channels.

What happens at checkout

A typical sale brings together a product record, price, quantity, payment and receipt. Where systems are connected, the transaction also updates stock and becomes available for returns or reporting. Discounts, exchanges and split payments add rules that need to be handled consistently by the store team.

POS hardware and software

Hardware can include a tablet or computer, scanner, receipt printer, cash drawer and payment reader. Software manages the transaction and related records. The right combination depends on the store’s workflow; a pop-up, a boutique with appointments and a large multibranch retailer may have different operational requirements.

What to check in a retail workflow

Consider how the system handles product variants, stock transfers, returns, staff permissions and online orders. Also establish what happens when connectivity is interrupted and when the records synchronize again. A checkout that accepts payment still needs a reliable process for recording what was sold and where the stock moved.
